The usual response is to assume the tool isn't good enough, or that AI "doesn't really work" for the type of task you're doing. In most cases, neither is true. The working habit here is simple: before you type a prompt, ask yourself who you're writing for, what you want the piece to accomplish, and what constraints apply. Then put the answers into the prompt itself. Every piece of relevant context you include is processing time saved on the back end.
The context problem: assuming the AI knows things it doesn't
AI tools have general knowledge, but they don't have your specific knowledge. They don't know your industry, your clients, your organisation's communication style, your product's key features, or the particular situation you're dealing with. For example, a standard paragraph describing your business, your tone of voice, and your typical audience that you paste in whenever you're drafting external communications. This sounds laborious once and becomes routine quickly. It also produces consistently better output than starting from scratch every time.
The output format problem: not telling the tool what you actually need
AI tools will choose a default format if you don't specify one. That default is often a multi-paragraph prose response — which is useful for some tasks and actively inconvenient for others. If you need a numbered list, a table, a structured set of headings, a series of short options to choose between, or a document formatted in a particular way, you need to say so.
This sounds obvious but it's one of the most consistently neglected aspects of prompting. Professionals who would never draft a deliverable without thinking about its format often send AI prompts with no format guidance at all, then spend time reformatting the output. The reformatting step is usually entirely avoidable.
The fix is to add a line at the end of your prompt specifying what you want. "Present this as a numbered list." "Structure this as a one-page table with three columns: action, owner, and deadline." "Give me five separate short options, each no more than two sentences, in a distinct style." Format instructions are almost always followed accurately, which makes them one of the highest-value things you can add to a prompt.

The most limiting habit in AI tool use is expecting the first output to be the finished product. It almost never is, and treating it that way is both inefficient and a recipe for mediocre results. AI tools work iteratively — the quality of output improves as you refine the instruction, add missing context, push back on what doesn't work, and specify more precisely what you actually want.
This is where many people who feel AI tools "don't work for them" have stalled. They've sent one prompt, received one output that wasn't quite right, and concluded that the tool can't help with this type of task. None of the above matters if you're not reviewing the output before you use it. AI tools produce content that sounds authoritative regardless of whether it's accurate. They cite figures that don't exist, misquote sources, describe product features that aren't real, and occasionally confuse one organisation or individual with another. They do this in a tone that is indistinguishable from their accurate output, which is what makes uncritical use genuinely risky.
The professional habit to build is treating AI output the same way you'd treat a first draft from a capable but occasionally unreliable colleague: read it properly, check the claims that matter, and take responsibility for what goes out under your name. This isn't a counsel of total suspicion — for many tasks, AI output is accurate and useful and needs only light editing. But it's a reminder that the professional judgment in any AI-assisted task belongs to you, and reviewing the output is where that judgment gets applied.
Knowing when to verify and when to trust is itself a skill that develops through practice. Over time, users of AI tools develop an accurate sense of where a given tool is reliable in their context and where it needs checking. That calibration doesn't come from reading about AI. It comes from working with these tools on real tasks, making mistakes, noticing patterns, and adjusting accordingly.
